A unique system generated number. You can’t modify this number.
A unique number assigned to each agreement and referred in all documents/transactions. You can manually enter a unique number before saving the transaction record. If you leave this field blank, system auto-generates a unique agreement number.
Select the business organization name. You can default the business organization name from the business organization profile.
Select an agreement type as applicable for the agreement.
Enter the customer name in the customer name field. You can enter the customer name in different ways
i. Enter 2 consecutive characters from any part of the customer name in the customer name field and system will show you a list of customers containing the text entered in that field. You can select the customer name from the suggestion list.
ii. If you know the complete customer name then enter it in the customer name field.
iii. If you want to search customers, then click customer name field. System will show you a search icon next to the customer name field. Click on the search icon to search & select customer name.
System auto populates customer number after entering customer name.
Customer number defaults from the customer name.
Select customer site for the agreement from the list of customer sites. You can select this field only after entering customer name as system default the site list from customer name.
Enter project admin name. You can only select an employee for project admin.
You can enter the employee name in different ways
i. Enter 2 consecutive characters from any part of the employee name in the admin field and system will show you a list of employees containing the text entered in that field. You can select the employee name from the suggestion list.
ii. If you know the complete employee name then enter it in the admin field.
iii. If you want to search employees, then click admin field. System will show you a search icon next to the admin field. Click on the search icon to search & select an employee.
Enter any comment /remark in the description field.
Start Date & End Date:
Enter a start date and an end date as applicable for the agreement.
Document (or Doc.) currency is the currency of the agreement header. It is the currency with which customer prefers to communicate & make payment. The value in this field defaults from customer and customer site but system allows you to manually change the doc currency value.
Currency field shows the primary currency of the business unit where the agreement is created. The currency value defaults from the primary ledger of the business unit. You cannot and should not try to change the value in this field.
Exchange Rate Type & Exchange Rate:
You can select an exchange rate type & enter a value for the exchange rate field if the currency and document currency are different for the transaction document.
Header amount field shows the total agreement amount.
Payment term defaults from the customer & customer site. System allows you to manually override the default values.
Revenue Hard Limit:
Enable the revenue hard limit check box to specify that the total revenue generated against the agreement cannot cross the allocated funding amount (i.e. agreement amount). Without hard limit, system issues a warning when revenue accrual exceeds the amount allocated to a project.
Invoice Hard Limit:
Enable the invoice hard limit check box to specify that the total invoice generated against the agreement cannot cross the allocated funding amount (i.e. agreement amount). Without hard limit, system issues a warning when invoice amount exceeds the amount allocated to a project.
